Staff Accountant

We are seeking a detail-oriented and experienced Staff Accountant II to join our dedicated non-profit team. The ideal candidate will have a solid understanding of non-profit accounting, grant management, and payroll processing. This position is responsible for maintaining accurate financial records and ensuring compliance with applicable regulations and funding requirements. The Staff Accountant will work closely with the Director of Operations to support the financial integrity of the organization and assist in strategic financial planning.

Essential responsibilities

  • Manage all day-to-day accounting operations including accounts payable/receivable, general ledger, bank reconciliations, and month-end close\
  • Process semi-monthly payroll and related reporting in compliance with federal and state laws
  • Maintain accounting records in QuickBooks (experience with QuickBooks Online preferred)
  • Assist in the preparation and monitoring of the annual budget and forecasts
  • Prepare accurate financial reports and statements, including monthly financials, grant expenditure reports, and audit schedules in collaboration with Senior Finance Consultant
  • Support and manage financial components of grant funding, including restricted/unrestricted funds and compliance tracking
  • Collaborate with program staff and leadership on grant reporting and allowable expenditures
  • Ensure accurate classification and allocation of expenses to appropriate cost centers and funding sources
  • Maintain digital records and organize documentation using Microsoft 365 tools (Excel, Outlook, SharePoint, Teams)
  • Assist with annual audits, tax filings (e.g., IRS Form 990), and other external financial reviews
  • Identify and implement process improvements to increase accounting efficiency and accuracy

Qualifications

  • Associate’s or bachelor’s degree in accounting, Finance, or related field
  • 2+ years of accounting experience; non-profit accounting strongly preferred
  • Proficient in QuickBooks (Online or Desktop)
  • Experience with Microsoft 365 (Excel, Word, Outlook, Teams)
  • Knowledge of payroll systems; prior payroll processing experience required
  • Strong attention to detail, analytical skills, and organizational abilities
  • Ability to work independently and handle sensitive financial information with discretion

Preferred

  • Experience managing grant funding
  • Familiarity with fund accounting and GAAP, as it applies to non-profits
  • Prior experience working in a mission-driven or service oriented organization.
